Client Banking Information – Process Enhancements (Univeris & Client Portal)

Good news! Following the recent launch of Investia’s NCAFs and KYC Update Form, we are excited to announce to launch two improvements to our processes which will facilitate client banking information entry/documentation. Both of these changes will come into effect on Monday, April 3, 2023.

1. Entry of banking information in Univeris by Representatives

Following strong demand, you will soon be able to enter your clients’ banking information in Univeris (under Clients/Bank Accounts) without Head Office involvement for increased efficiency. In addition to reducing inquiries and follow-ups, this will allow you to perform transactions (PAC setup, fund redemption, client payment, etc.) much faster and more easily for your clients.

Important considerations before entering client banking information:

  • A valid personalized void cheque/banking document (in CA$ only) must be on file.
  • Please read Administrative Procedure #63 in full before entering the information for detailed client authorization/signature requirements.
  • Documentation must be sent to Head Office for imaging (not processing) on the day of entry in Univeris.
  • Investia will verify client banking information in the system on an ongoing basis as part of its internal control process. Transactions involving non-compliant banking information could be reversed via an LOI at the Representative’s cost.

2. Addition of banking information by clients on the Client Portal

Also, following strong demand, an important enhancement has been made to the Investia Client Portal to allow clients to add banking information in the system themselves, as well as view all their active bank accounts on file (see next page for step-by-step instructions).

Transition period

It should be noted that it will become mandatory for banking information to be added by Representatives on June 1, 2023. As we strive to make this process as seamless as possible, a transition period between now and June 1 is planned for those of you who would like Investia to continue to add their clients’ banking information in the system. To request that banking information be added by Investia, please send us the client’s NCAF/KYC Update Form, along with a valid personalized void cheque, via the Secure File Upload Tool (“Processing” option). Please be advised that after June 1, requests for Investia to add client banking information in the system will be rejected and returned to the Representative so that he/she or the client can enter it in the system.

Banking Information Entry in the Client Portal – Client Instructions:

  1. From the left-hand menu of the Investia Client Portal homepage, the client clicks Banking Information:
  2. In the Add an account screen, the client enters the information and uploads a valid void cheque:
  3. Once the information has been saved, the void cheque will automatically be sent to the client’s file in Univeris (available in the Documents section) and the banking information will be saved under Bank Accounts, ready for use.
  4. Your Notifications tile on the Advisor Centre will also be updated to inform you that banking information has been entered by the client:

Investia mobile app:

At this time, the mobile app will only have the functionality for clients to view their bank accounts. The functionality to add bank accounts through the mobile app will be available during the latter part of the year.

Additionally, we are working on an enhancement for clients to have the ability to contact their Representative from the mobile app (with notifications sent via email), should they wish to modify their banking information. Stay tuned for more information about this in the 360.
