As we approach year end and the upcoming RRSP season, we wanted to take this opportunity to remind you of some key information to avoid confusion and/or delays in completing your clients’ requests.
Imaging vs. Processing Upload/Fax
- All client documentation must be uploaded/faxed to Head Office via the Imaging OR Processing option. Pease DO NOT send documentation to both.
- Imaging (866-892-7333): For documentation for filing purposes only. These documents require no further action by Head Office.
- Processing (877-684-5549): For documentation which requires action by Head Office. This includes, but is not limited to:
- Backup/supporting documentation for nominee account redemptions payable to clients for which specific tax rates above the standard apply (the redemption must be processed by the Representative/Representative’s office);
- Withdrawals from cash accounts with specific tax rates above the standard (the cash account withdrawal must not be processed by the Representative, but by Head Office);
- Nominee redemptions for non-residents;
- Transactions with a currency conversion from US to CDN or CDN to US dollars;
- Nominee trades that are rejected or cannot be processed via Univeris.
Non-Financial Updates
Most non-financial updates are to be completed by the Representative or Representative’s office. This includes:
- Name changes;
- Address changes (unless the address change is made by the client on the Client Portal);
- Beneficiary changes – changes on client-name accounts must also be faxed to the fund companies for processing.
Once the information has been entered in Univeris, please upload/fax the documentation to Head Office for imaging.
Non-Taxable Internal Transfers
The following transfers between nominee accounts are to be processed by the Representative or Representative’s office:
- SDOPEN to SDTFSA/SDRSP/SDSRSP*
- SDRSP/SDSRSP to SDRIF/SDSRIF*
- SDLIRA to SDLIF – while ensuring jurisdiction remains the same between plans*
Once the internal transfers have been processed on Univeris, please upload/fax the documentation to Head Office for imaging.
*Exceptions are accounts with ETFs, GICs, Covington (COV) funds, GrowthWorks (WVN) funds or private stocks. Once all other holdings have been transferred, please upload/fax the request for processing and Head Office will complete the remainder of the transfer.
All nominee internal transfers with a tax implication (e.g., SDRSP/SDSRSP to SDTFSA, unlocking requests, financial hardship) must be uploaded/faxed to HO for processing. Any taxable trades processed by the Representative or Representative’s office may result in the need for a Letter of Indemnity (LOI). Any dilutions that arise due to the LOI will be the Representative’s responsibility.
Banking Information
Collection of client banking information and subsequent entry into Univeris is mandatory and must be completed by the Representative or Representative’s office. A copy of the void cheque/pre-authorized form must also be uploaded/faxed to HO for imaging the same day the information is entered. It is important to upload/fax the void cheque for each client ID number where banking information has been added. If the documentation is not received, the banking information will be removed from Univeris. Any trades processed using that information will result in a LOI being processed. Any dilutions that arise due to the LOI will be the Representative’s responsibility.
If any of the above items are sent to “Processing”, Head Office will reject the request and send a notice to have the information/trade processed by the Representative’s office.
