New! Mailing of Paper Tax Forms for E-Delivery Clients

Good news! In the spirit of continuous improvement, we have a new opportunity for clients who have chosen e-delivery for the transmission of their Investia documents (e.g., quarterly statements, trade confirmations and tax slips).

Going forward, clients will have the option to maintain their e-delivery selection for statements and trade confirmations but choose to receive their nominee tax documents by mail in paper format if they so desire.

Tax documents eligible for paper mailing

  • Investia nominee tax slips which Investia produces;
  • Nominee Non-Registered Fee-Based Account Fee Summary report.

Not eligible for paper mailing

  • Tax slips produced by fund companies or for client-name accounts.

If you would like your clients to receive their nominee tax documents by mail in paper format while still being e-delivery for their other documents, please complete the request form below and send it to investia@investia.ca no later than December 8, 2023.

  • Prior to completing the form, please ensure that each of your clients has a valid address in Univeris and that there is no HOLD mail or Incorrect Address code on file.
  • As a best practice, we recommend that you password protect your request form using the password available on the Advisor Centre before you send it to Investia.
  • Please ensure that you write “Nominee Tax Documents” in the subject line of your email.

Request to Send Client Tax Documents by Mail (Paper Format)

Important notes

  • After December 8, the option to mail tax documents will no longer be available for the 2023 tax year to ensure paper documents are mailed out in time for income tax season.
  • It is our expectation that the option to mail tax forms is based upon client preference or request. Blanket requests to mail to all clients will not be accepted.
  • As a reminder, e-delivery of tax forms is by far the most secure way of distributing tax information to our clients as it is secured by the multifactor authentication which protects our Client Portal.
  • Mailing of the tax form is restricted to the owner of the account at their official mailing address on record.
  • No requests for additional tax slips or duplicates will be handled by Head Office. Representatives will be responsible for printing additional copies from the Client Portal and mailing them to their clients upon request.
  • Even if the selection is made to switch to paper, clients will continue to be able to access their tax documents in the Investia Client Portal (or mobile app) once they receive the email notification of online availability, and Representatives will be able to access them via the “Mirror View” option.

Note that we are currently working on a solution in the Client Portal for clients to choose whether they wish to receive their statements, trade confirmations or tax forms via paper or e-delivery. We are hoping to launch this feature next year.
