Document Transmission Feature on the Advisor Centre – Improvement to our Process and Useful Reminders

Top news November 17, 2022

Further to our recent Administrative Staff Conference, we would like to provide you with a few reminders of good practices to adopt when using the document transmission feature on the Advisor Centre and share an improvement recently made to our process.

As a reminder, the document transmission feature allows you to do the following from the “Notifications” tile:

  • Upload documents for imaging and/or processing in one click, without having to save the document first on your computer; and
  • View the history of all your uploaded files.

Improvement to our Process

Good news! For documents shared by the client via the Client Portal (e.g., void cheques), please note that it is no longer required to write the client’s ID number on the document or add a note in Univeris when the document is sent to Head Office from the “Notifications” tile.

Our team is now able to identify whether the document comes from the client’s secure portal or not. This should help maximize efficiency and save time and effort for you and your team.

Note that administrative procedures referencing the bank addition process (i.e., systematic instructions, redemption, etc.) will be amended shortly to reflect this change.

Procedure Reminders to Send Documents from the “Notifications” Tile

  1. Go to the “Notifications” tile on the Investia Advisor Centre:

  2. Click on the notification that includes the document you would like to upload. Note that this feature has been enabled for documents signed by the client on the E-Signature tool, as well as for those shared by the client via the Client Portal.

  3. Click on “Send documents”, then select the document(s) that you would like to send:

  4. Select the recipient of your upload (imaging or processing):

  5. Once this selection has been made, you will receive a message confirming the upload:

  6. The notification status will be updated automatically:

  7. You can now view the upload history of your document:

You can also continue to access your upload history from the History of uploaded files section, with which you may already be familiar:

In a few clicks, your document has been uploaded and taken care of by Head Office, or sent to imaging depending on which recipient selection you have made.

We hope this improvement and these reminders will prove useful to you.
